Rates for on-campus summer housing have been cut by 20% from last year’s charges! This should help make taking classes this summer more affordable. Summer housing is in Eagle Landing (double rooms) only, conveniently located near many great businesses.

Summer Housing 2014 Agreement Terms
(1) Submitting an online application form from http://students.umw.edu/residencelife/summer is essential to notify the Office of Residence Life of your request for housing. The application must be submitted electronically no later than April 14, 2014 to participate in the first-round of approval and housing assignments. Students will be notified by April 18 of their housing assignments. All applications received after April 14 will be approved and assigned on a rolling basis.
(2) Summer housing assignments will be in Eagle Landing. These apartments contain bedroom furniture (bed, dresser, desk, desk chair, closet, and floor lamps) as well as minimal living room furniture. Each apartment has its own bathroom, a full oven/stove, a dishwasher, and large refrigerator. All have central air-conditioning. Mini-fridges are not permitted in the apartments. Each apartment has two bedrooms containing two individuals each (four students per apartment).
(3) Furniture should not be removed from the assignment. If a student owns a limited amount of additional furniture he/she would like to include in the room, it will need to be rearranged in the room or a place for unwanted furniture within the assignment must be found. Inflatable furniture, bean bag chairs, exercise (i.e., treadmills) and recreational equipment (i.e., ping pong tables) are not permitted. Upholstered furniture must be fire retardant. Extension cords are prohibited unless it is a multiple outlet type with a built-in fuse and surge protector. Other important items prohibited in residences are listed in the Student Handbook.
(4) Occupants are expected to keep their rooms clean and orderly at all times. Trash is to be placed in appropriate receptacles. Residents are responsible for notifying Residence Life staff immediately upon discovering any deteriorated or altered room conditions. Extension cords are prohibited unless it is a multiple outlet type with a built-in fuse and surge protector.
(5) Facility-related work order requests need to be reported immediately to the UMW Facilities Department by the resident. Any non-emergency facilities work requests must be made through the “Facilities Work Management” channel located on the “EagleNet Home” tab in the EagleNet portal (information outlined at URL: http://adminfinance.umw.edu/facilities/work-management). Any disaster, unusual occurrence, utility malfunction or equipment failure which presents an imminent danger to life, health or property is an emergency and should be reported immediately to Facilities Services by telephone at 540-654-2078 or the main number 540-654-1047. If it is after normal working hours, contact the University Police at 540-654-1025. University Police will have staff available 7 days a week/24 hours a day to assist students in campus residences over the summer. To contact UMW Police, call (540) 654-1025. Police Officers are available for safety escorts and emergency responses.
(6) Summertime is a busy time on campus. Facilities staff use this time to repair and replace, paint, update, and complete various projects. Some of this may cause a temporary disruption of service and inconvenience to students including the possibility of relocation. The University attempts to provide advance notice, but this is not always possible. During the summer, the campus has also been known to experience severe weather, resulting in power outages. At times, furniture is replaced during the summer, which may cause an inconvenience to students because there is disruption to coordinate the removal of old furniture and installation of new furniture.
Presently, there is a plan for a campus-wide hot water steam shutdown scheduled to take place from July 25 through August 11, which should not affect Eagle Landing but will affect meal preparation (thus, any students present at that time will need to plan accordingly).
For those on campus May 13 and 14 in Framar, South, Russell, Marshall, or UMW Apartments, the laundry rooms will be offline as the washer/dryer units will be replaced. Students present there will need to make alternative plans by using a nearby residence hall’s laundry room.
(7) Students with a key or lock issue (such as lost/stolen/misplaced their key or the lock is not functioning properly) should go to Brent House immediately to file a Police Report. This will initiate a Locksmith work order request. Students should not complete a facilities work order request on their own – it will not be completed without a Police Report number on the request. The key replacement charge for Eagle Landing keys is $125.
(8) Living on campus during any part of the summer is a privilege and failure to comply with all listed expectations could result in immediate removal from housing. Students agree to live in the location assigned and not participate in unapproved room changes.
(9) The Office of Residence Life will be available during most weekdays from 8:00 a.m. to 5:00 p.m. (when the University is open for business), to handle immediate concerns. (10) General Provisions and Conditions of Occupancy: Students are responsible for observing all regulations contained in the Academic Catalog, rules and procedures of the University of Mary Washington, Student Handbook, and notices from the Office of Residence Life. Every student should read and adhere to the Student Code of Conduct: http://students.umw.edu/judicialaffairs/the-judicial-system/code-of-conduct and the Student Handbook: http://publications.umw.edu/student-handbook. All housing-related policies are in effect during the summer.
(11) The cost for summer session housing is as follows: a single room for one summer session is $1,124 and a double room for one summer session is $917. A single room for both summer sessions is $2,248, and a double room for both summer sessions is $1,834. Because of limited space availability, double rooms will be standard for all residents unless there is a rare case requested by the student and approved by Residence Life (such as a medical condition); students may email firstname.lastname@example.org an explanation of any exigent circumstances to request consideration.
(12) Some students are being “sponsored” by a UMW department, where the student has been communicated that the cost of housing will be covered by the UMW department. For example, Residence Life’s Resident Assistants and Summer Conference Assistants are charged for housing but the charge is covered by the University. It is vital that students communicate with their sponsor regarding the amount of days covered and not covered (for instance, extended housing before and after the summer sessions). If a student has on their account the charge of housing and they believe it should be covered by their sponsor, the student should inquire with their sponsor as soon as possible.
(13) Summer session 1 housing is from May 16 until June 20. Students permitted to stay on campus through May 16 with summer housing assignments in Eagle Landing will need to move on this date to their summer housing assignment; students will need to pick up their new key from Eagle Landing front desk between 8:00 a.m. and 10:00 a.m., and move into their new assignment. Before 6:00 p.m., they must return to Eagle Landing front desk their old key to properly checkout. Students which have summer housing assignments in Eagle Landing which are not on campus on May 16 may pick up their new key from the Eagle Landing Front Desk on either Saturday, May 17 or Sunday, May 18 between 8:00 a.m. and 8:00 p.m.
Move out for those with summer session 1 only housing will be by 10:00 a.m. on Friday, June 20.
Summer session 2 only housing is from June 22 to July 25. Move in will begin at 2:00 p.m. on Sunday, June 22. Move out will be by 10am on Friday, July 25.
Students with special circumstances or with classes beginning outside of these dates requiring special consideration will need to email email@example.com with details.
(14) Extended Stay: Students have the opportunity on their Summer 2014 Housing and Dining Services Agreement to elect to stay in their Spring 2014 housing assignment until it is time to move into their Summer 1 housing assignment (for an additional charge of $390). Also available to select on the Agreement is extended housing at the end of summer session 2 housing (after July 25) until Fall classes begin (for an additional charge of $720). Students not selecting and paying for extended housing are required to move all belongings during this period of time. The per person cost for each individual’s housing assignment during the period of time when summer sessions are not taking place (May 3 through 16, and July 28 through August 20) is $30 per day. Students are required to follow procedures outlined at http://students.umw.edu/residencelife/closing. Residents of Alvey Hall and some residents of Eagle Landing (mainly on the first, second, and third floors of the north tower) will not be permitted extended stay spring housing (May 3 – 16) due to the need to clean those spaces immediately after hall closing (for conference and summer assignments preparation); these students will be permitted only to move into a temporary location (further communication will take place with those students after they complete their Agreement).
(15) Students must move in/check in and move out/check out of their housing assignment during the proper date and times as expected (with Resident Assistants or Eagle Landing Desk Attendant staff, as directed). Any student who improperly checks out and/or does not return key(s) will incur improper check-out and key charges.
(16) When checking-out of their housing assignment, students must leave the space in the same condition that they found it in or better. Specifically, rooms should be cleaned, garbage removed, floor vacuumed/swept, and furniture tops dusted.
(17) Students may select a summer board dining plan. The plan costs $350 per summer session.
(18) Desired/requested roommates and apartment-mates must request each other on their application. Placements are completed according to application preferences during the first round (April 14 due date).
(19) The University reserves the right to reassign, remove, or suspend (pending review) from the residence halls any student whose conduct exhibits disregard for the residential community, who violates the terms and conditions of residence hall occupancy, or who violates other University rules and regulations. The Dean of Student Life and/or designee will make such determinations.
(20) Room changes are not permitted for summer assignments. Vacancies will be filled as new requests for housing are submitted. Students in a double room with a vacancy are expected to keep the space clean and clear, ready to receive a new occupant at any time. Students must accept a new occupant as assigned by the Office of Residence Life. The Office of Residence Life may not have time to notify students they will be getting a new roommate or suitemate. Staff will regularly check the vacancy to ensure it is ready to receive a new roommate; if the space is found to be unavailable for a new resident during the check, a $100 fine will be assessed to the student (after a warning of such is first provided). Behavior which discriminates against or impedes an interested student or assigned occupant will be considered sufficient grounds for disciplinary action, including reassignment or removal from the residence halls, without refund, as determined by the Director of Residence Life or his/her designee. The University reserves the right to change room assignments at its discretion at any time, including but not limited to consolidation of room assignments. The Office of Residence Life reserves the right to consolidate space/vacancies in order to accommodate any student.
(21) All spaces during the summertime are subject to fire drills, testing of fire equipment, Room Condition Inventory inspections, air filter changes, health and safety inspections, and maintenance repairs.
(22) Belongings left in rooms during times not assigned will be considered abandoned, discarded, and charges will be assessed to the student’s account. In addition, the student may face judicial action and will be assessed a $100 a day charge.
(23) Bicycles are typically collected during summer months by University Police. Anyone with a bike on campus should ensure it is registered and that they are aware of best practices to keep it safe.
(24) Students on campus for only part of the summer should communicate with campus mail services regarding their mail (whether they should forward mail while not on campus).
(25) Should a student wish to cancel this Housing Agreement, it must be requested in writing to firstname.lastname@example.org as soon as possible. The housing charges would be prorated for the number of days present.
(26) The University may terminate this Agreement and take possession of the room at any time upon (A) violation of the provisions of this Agreement; or (B) the direction of a duly authorized judicial body, dean, or other officer of the University; or (C) suspension or expulsion from the University.
