Mary Washington College Fencing Club Constitution

2005 – 2006

We the members of the Mary Washington College Fencing Club, in order to perform a more perfect lunge, establish right of way, insure proper distance, provide eight common defenses, promote entertainment and exercise, and ensure victories for ourselves and our club, do ordain and establish this Constitution for the Mary Washington College Fencing Club.

Article I
The name of this organization shall be the Mary Washington College Fencing Club.

Article II
The purpose of the Mary Washington College Fencing Club is to instruct interested students in the art of fencing: foil, epee, and sabre, including the directing and judging of fencing bouts.

Article III
The Mary Washington College Fencing Club shall be a member of the Inter-Club Association.

Article IV
Membership to the Mary Washington College Fencing Club will be open to any student of the college interested in joining.

Article V

Section 1. Establishment of the Executive Officers, Elections, and Vacancies

  1. The officers of the Mary Washington College Fencing Club shall be the President, Vice President, Secretary, Treasurer, Armorers, Tournament Coordinator and Historian/ Publicity Chair.
  2. The officers shall be elected by a simple majority of the club membership. The President, Vice President, Secretary, Treasurer, Armorers, Tournament Coordinator and Historian/ Publicity Chair shall be elected following Spring Break.
  3. A vacancy occurring in any executive office shall result in an election. A simple majority of the club members will suffice.

Section 2. Qualifications

  1. President
    • Must have a cumulative GPA of at least 2.0 and be in good social standing.
    • Must be a member of the Mary Washington College Fencing Club
    • Must be a rising junior or senior.
  2. Vice President
    • Must have a cumulative GPA of at least 2.0 and be in good social standing.
    • Must be a member of the Mary Washington College Fencing Club
  3. Secretary
    • Must have a cumulative GPA of at least 2.0 and be in good social standing.
    • Must be a member of the Mary Washington College Fencing Club
  4. Treasurer
    • Must have a cumulative GPA of at least 2.0 and be in good social standing.
    • Must be a member of the Mary Washington College Fencing Club
  5. Armorers
    • Must have a cumulative GPA of at least 2.0 and be in good social standing.
    • Must be a member of the Mary Washington College Fencing Club
  6. Tournament Coordinator
    • Must have a cumulative GPA of at least 2.0 and be in good social standing.
    • Must be a member of the Mary Washington College Fencing Club
  7. Historian/Publicity Chair
    • Must have a cumulative GPA of at least 2.0 and be in good social standing.
    • Must be a member of the Mary Washington College Fencing Club

Section 3. Duties

  1. All officers shall attend all mandatory meetings of the Club, unless a valid reason is presented in advance to the President, who must report that reason for the officer’s absence to the Club.
  2. If an officer fails to attend three meetings without giving a valid reason in advance to the President, his/her position may be removed and the office put up for election as stated in Section 1. above.
  3. In the event that an officer fails to perform the duties of his/her position satisfactorily, as determined by the Club, proceedings for his/her removal may be instituted by the Club.

  4. The Duties of the President are as follows:
    • Shall be fully responsible for all Club activities.
    • Shall call order and preside over all Club meetings.
    • Shall keep faculty and administration informed of Club status
    • Shall coordinate all facilities for the usage by the Club.
    • Shall coordinate all activities with the instructor.
    • Shall represent the Club at any request of the administration, faculty, or student group.
    • Shall assume responsibility for the orientation of the future Club President.

  5. The duties of the Vice President are as follows:
    • Shall assume the responsibilities of the President if he/she is unable to perform his/her duties or at his/her request.
    • Shall organize Club social activities.
    • Shall keep Club members informed of activities.
    • Shall be responsible for running fencing drills at the beginning of each Club meeting.
    • Shall attend all ICA meetings and report to the Club and officers about the proceedings of said meetings.
    • Shall assume responsibility for the orientation of the future Club Vice President.

  6. The duties of the Secretary are as follows:
    • Shall be responsible for the documentation of all Club events.
    • Shall be responsible for establishing and maintaining communication within the Club, between officers and the Club, including keeping members aware of all upcoming events and relevant information.
    • Shall assist Historian/Publicity Chair in all publicity of Club activities.

  7. The duties of the Treasurer are as follows:
    • Shall be responsible for collecting Club dues.
    • Shall be responsible for maintaining the record of membership liability forms, which includes obtaining pre-approval of the form from the Director of Student Activities, ensuring that all members sign membership forms, and providing the Student Activities office with copies of all signed forms.
    • Shall be in charge of all Club finances, which includes maintaining an official ledger, preparing the annual budget and any grant requests, and attending the mandatory training session at the beginning of the Fall Semester.
    • Shall be responsible for keeping all officers informed of the Club’s current financial status.
    • Shall be responsible for all records kept.
    • Shall assume responsibility for the orientation of the future Club Treasurer.

  8. The duties of the Armorers are as follows:
    • Shall be responsible for the care and upkeep of all Club equipment.
    • Shall maintain Club electric equipment, including care, storage, breakdown and creation of equipment.
    • Shall maintain an inventory of Club equipment.
    • Shall put together the preliminary order to the fencing equipment companies.
    • Shall be responsible for obtaining storage for the Club equipment.
    • Shall assume responsibility for the orientation of the future Club Armorers.

  9. The duties of the Tournament Coordinator are as follows:
    • Shall be responsible for establishing and maintaining correspondence with other fencing clubs and any relevant organizations or individuals not affiliated with Mary Washington College.
    • Shall keep records of all contact information for use by the Club in the future, and shall distribute contact information to other clubs to promote communication among them.
    • Shall be responsible, with the President and Vice President, for organizing tournaments with other clubs, including working with the Treasurer to acquire medals or other prizes for tournaments held at Mary Washington College, when appropriate.
    • Shall possess a current copy of USFA rules to be consulted if necessary, and shall learn the formats and scoring procedures for various types of tournaments, and record them for future reference.
    • Shall be responsible for organizing the Fencing Ladder, used to determine ranking among Club members in all three weapons, and shall award medals or other prizes for winners, when appropriate.
    • Shall be responsible for the orientation of the future Tournament Coordinator.

  10. The duties of the Historian/Publicity Chair are as follows:
    • Shall create and maintain a Club scrapbook, including photographs from old yearbooks and newspaper articles, and current photographs of the Club, recording correct names and dates of those featured in the photographs.
    • Shall be responsible for sending in to the yearbook a group photograph as well as action photographs of the Club, and must meet deadlines set by the yearbook staff.
    • Shall be responsible for sending photographs of tournaments and other club events to the Bullet newspaper in time to be included for the same week’s issue.
    • Shall be responsible for the publicity of all Club activities to the Mary Washington College community, and Fredericksburg area when appropriate, including hanging posters, assisted by the secretary, and shall keep copies of old posters for future use by the Club.
    • Shall be responsible for maintaining an alumni directory for the purposes of alumni tournaments and keeping former fencers up to date with Club activities.
    • Shall be responsible for the orientation of the future Historian/Publicity Chair.

Article VI
Mandatory meetings shall be held on a day and time that all officers can attend. Meeting days and times will also be determined by the availability of facilities. Optional meeting days and times will be voted upon by the Club. Meeting days and times are subject to change.

Article VII
The Mary Washington College Fencing Club shall conduct its business with the funds collected from Club dues, stipends granted from the Student Associations Finance Committee, and any funds accumulated through fundraising activates.

Article VIII
Any member of the Mary Washington College Fencing Club may propose an amendment to the Club’s constitution. Approval of an amendment can be gained by a two-thirds majority vote of the Club members who have paid their Club dues.

Article IX
The Mary Washington College Fencing Club will abide by MWC non-discrimination standards as adopted by the Board of Visitors.

Article X
Faculty Advisors shall be chosen in March for the following year. Faculty Advisors shall be nominated by Club members, and chosen on the basis of knowledge and/or interest in fencing, availability, and desire to be the Club’s faulty Advisor.
